Account requests and abuse prevention

New requests wait for review before we send email. We record the email address, IP address, browser, language and form timing to assess abuse. Unreviewed, approved and completed requests expire after 30 days; declined requests stay for up to a year to prevent repeated unwanted email. Sign-in request records expire after seven days. We also keep coded versions of email or IP addresses for up to two days to limit repeated requests. Sign-in links work once and expire after 15 minutes.

What we keep and why

We keep your name, email, credential plan, chosen timezone and the records you enter so we can provide your coaching log. Client records can use aliases. Contact details, sponsor information and reflections are optional. Login sessions include an IP address and browser information to support secure access.

We use account information to provide the service, operational records to secure and maintain it, and your separate consent for course or Coachability updates. We do not sell your records or use them to train AI models.

Client information

Only store information you have permission and a lawful basis to keep. Avoid health details and other sensitive client information. Obtain the client's agreement before recording their contact details or permitting contact for an ICF audit. An alias alone may not support an audit.

Where records go

The app runs on Hetzner infrastructure in Finland. Amazon Web Services in Ireland handles account email and encrypted backups. Cloudflare provides DNS. Fastmail processes messages sent to our contact address on servers in the United States. These providers process the information needed to supply those services. We do not add advertising or third-party analytics to the app.

Client contact details, sponsor information and reflections are encrypted in the database. Backups are encrypted. The service operator can access records when needed to operate the service or respond to a request; this is not end-to-end encryption.

Cookies and retention

We use essential cookies for sign-in and form security. Login sessions expire after 30 days and are removed daily. We keep a limited amount of server history to help investigate problems, replacing older entries as it fills up. Your coaching records remain until you remove them or delete your account.

Account deletion removes active records. Encrypted recovery backups usually retain them for up to 13 months, but may keep them longer if backups are interrupted. We keep your account number and the dates it was created and deleted for up to 14 months to help prevent deleted accounts from returning when we recover from a backup. A complete server loss can lose changes made since the last daily backup.

Your choices

You can edit records, download a CSV or full account export, leave either interest list and delete your account from Account. You can also contact us to request access, correction or deletion. Depending on where you live, you may have other rights, including objecting to processing or complaining to your local data-protection authority.

Course and Coachability updates are optional and separate. Account approval and sign-in emails are part of running your account.
