A coaching log you can keep up with.
A useful log answers a few questions: when did you coach, for how long, with whom, and was the work paid? Record each session while the details are fresh. Keep reflective notes separate from this factual record.

Open the file in Excel, Numbers or Google Sheets. This is the 100 hours import template, not ICF's official application log. It contains column headings and no client data.
Fill one row for each session.

- Leave this blank for new sessions. Keep the value for sessions exported from 100 hours; existing IDs are skipped on import. To change an existing session, edit it in the app.
- date
- Use year-month-day: 2026-10-06.
- minutes
- Enter the whole session length in minutes, such as 45 or 60. Do not round a short session up to an hour.
- payment
- Use

individualorgroup. Use group for team sessions too. - coaches
- Enter 1 for a session you coached alone. For shared coaching, enter the number of coaches; the app divides the session time between them.
- clients
- Use the same alias each time for the same person. Separate multiple aliases with a semicolon, such as
Client A;Client B.
Check the arithmetic with a small example.
Suppose you coach Client A for 45 minutes on Monday and Client B for 60 minutes on Thursday. Your total is 105 minutes, or 1.75 hours. A second session with Client A increases your hours, but your client count stays at two.
A 60-minute group session with four clients is one coaching hour, not four. If two coaches share it, 100 hours credits 30 minutes to each coach. Enter the full 60 minutes and two coaches so the time is divided once.
Keep supporting records outside the import.
The template leaves out client contact details, consent and evidence for an application. Keep those records securely and follow ICF's experience and documentation requirements. An alias-only export is not a complete record for an ICF audit.
Review which sessions count before including them in your experience total. Your dashboard uses the start date of your qualifying education; it cannot decide whether a particular conversation meets ICF's rules.
Choose a routine you can repeat.
- Record each session after it ends.
- Check names, payment status and durations each week.
- Review your ACC or PCC totals each month, including recent experience.
- Keep a dated export when you review your records.
